Reporting and funding pattern

Two times per year each partner must report on the money spent in the project. The report should state all the activities the institution has done within the project and how much money has been spent on each activity.

Reporting twice a year

The yearly report

  • In January / Ferbruary each year partners report on the money spent in the previous year.
    Deadline: as soon as possible and no later than 1 March.
    When we have received and approved the partner report we will transfer money to the partner according to the budget plan for the current year.

The half year report

  • In June/ July partners report on the money spent in the period 1 January - 30 June.
    Deadline: 15 August. This is stated in the working plan due to Project Owner's obligation to report on the full project to the Research Council of Norway.

Report on the use of transferred funds

Each partner must report on their use of the transferred funds. The report should state all the activities you have done within the project and how much money has been spent on each activity. In addition, you will have to sign a statement concluding that the report contains the correct information and that the money is spent according to your country's rules and regulations. Normally we will not ask for documentation like copies of receipts etc. or an audit report, but if a partner report seems to be unclear we may ask for more documentation and / or an audit report.

Funding

We will transfer money yearly to partners according to the budget plan. If a partner should want to spend more money one year and less money another year it is possible, but we will not transfer more funds yearly than stated in the agreed budget plan. If a partner spends more money one year than the transferred sum they will have to cover the expenses themselves until they receive the next money transfer.

Overhead

The project budget for Austria, Brazil, Colombia, South Africa and Uruguay has funds to cover operational costs only. It is not possible to charge overhead on operational costs. The project budget for Oslo and Uganda has funds to be spent on operational costs as well as salary.
